How to replace your status meeting with a five minute video

Most status meetings are eight people listening to each other read updates. Here is how to move that to video without losing the parts that matter.

By the Bujua team. Updated . 2 minute read.

In short: Each person records a two minute update by a set time, using the same three part format. Everyone watches at 1.5× on their own time and leaves questions on the moment. A short live meeting stays for decisions that need discussion.

One format for everyone

  1. Done: what shipped since the last update, shown on screen.
  2. Next: what you’re doing before the next update.
  3. Stuck: the one thing you need from someone, by name.

The same structure makes updates fast to record and fast to watch.

A steady rhythm

A deadline helps, for example Monday at noon in the earliest time zone. Updates go into one shared folder. A single link to the folder replaces the calendar invite.

Collect questions on the moment

People comment at the exact point a question comes up. The person who recorded answers in text or with a short video reply. Most threads resolve in a day without anyone meeting.

Seeing who is keeping up

Viewer insights show who has watched each update. If a teammate hasn’t, a nudge is about the update, not about attendance.

The meeting is kept for decisions

The weekly meeting becomes a fifteen minute slot that only happens when an update raised a decision that needs a conversation. Many weeks, it won’t.

The next explanation can be a two minute video.

The first one needs no account and no install, and the link is ready when recording stops.
